Privacy Policy
Effective: February 6, 2026 | Last updated: February 6, 2026
1. Who We Are
VERA Platform LLC ("VERA," "we," "us") is a Service-Disabled Veteran-Owned Small Business registered in the United States. We provide release assurance and document verification technology.
2. Privacy-Preserving Architecture
VERA's core architecture is designed so that customer documents never leave the customer's environment. Our platform operates on cryptographic fingerprints (SHA-256 hashes) and metadata — not document content. This is a fundamental design principle, not a feature toggle.
3. What We Collect
On this public website, we collect:
- Contact information you voluntarily provide (name, email, organization) when requesting a demo or contacting us
- Standard web server logs (IP address, browser type, pages visited, timestamps) as recorded by our infrastructure providers (AWS CloudFront, Cloudflare)
Within the VERA portal (authenticated environment), processing is limited to:
- Cryptographic digests (hashes) of documents — not the documents themselves
- Metadata required for verification (timestamps, role identifiers, policy references)
- Decision records and audit logs generated by the platform
4. What We Do Not Collect
- We do not collect, store, or transmit the content of customer documents
- We do not use tracking pixels, advertising cookies, or behavioral analytics on this site
- We do not sell, rent, or share personal information with third parties for marketing purposes
5. How We Use Information
- To respond to demo requests and inquiries
- To operate, maintain, and improve the VERA platform
- To generate verification artifacts (decision records, proof pointers, audit packs)
- To comply with legal obligations
6. Infrastructure Providers
VERA uses the following infrastructure providers, each with their own privacy practices:
- Amazon Web Services (AWS) — hosting, compute, database, CDN
- Cloudflare — DNS, DDoS protection, edge security
- XRP Ledger — public blockchain for digest anchoring (public transaction data only)
7. Data Retention
Contact information is retained for the duration of the business relationship. Platform data (hashes, decision records, audit logs) is retained according to customer agreements and applicable regulatory requirements. Blockchain anchors are permanent by design — they contain only cryptographic digests, not document content.
8. Your Rights
You may request access to, correction of, or deletion of personal information we hold about you by contacting us at adam@verafiable.com. We will respond within 30 days.
9. Security
We implement technical and organizational measures to protect information, including encryption at rest and in transit, multi-factor authentication, role-based access controls, and regular access reviews. See our Security page for more detail.
10. Changes
We may update this policy. Material changes will be noted on this page with an updated effective date.
